Licensing

One licence, on your PC

A licence is a signed file for one business. You activate it in Settings. The check happens on the computer. Your job emails are not sent to us to prove the licence.

What you buy

A licence is annual. It renews each year when you import a new file for the next year. You receive a licence file (a .lic file) issued to a named person or practice and bound to an email address. It names the tier, how many company profiles you may run, the start date, the end date, and the price you were charged for that year.

The annual prices, with the introductory price charged on a new licence:

Inside the program the company cap written on the file is what counts. It is not looked up from this website. A file issued earlier keeps the cap it was issued with. An installation with no licence file is limited to one company.

Activation and verification

  1. Open Settings, Account & licensing.
  2. If Microsoft 365 is connected, that mailbox is the account. Otherwise type the licensee email, the same address that is on the file.
  3. Choose Import licence file and pick the .lic file.

The app checks the signature with a public key that ships inside the program, checks the dates, and checks that the email matches. It does not call a licensing server. A copy of the file is kept in your local data folder and in the app’s settings on that PC. Moving the program to another PC does not move the licence unless you copy that data or import the file again, and the email must still match.

When it expires

The licence runs until the end date on the file, which is one year unless the file says otherwise. On the day after that date, the app reports that the licence expired and shows the date. While it is expired you cannot add another company profile. The database, PDFs, mailbox settings, and QuickBooks connection that are already on the PC stay there. They are not deleted. Import a renewed annual file to restore the company cap for the next year. An installation with no licence file at all is limited to a single company profile.

Updates

Updates during the licence term are included. You install the new build yourself. There is no silent background updater. An update keeps the same data folder and the same database file name, and it still reads appsettings.json beside the program. The QuickBooks app you registered with Intuit is not renamed by an update.

Support

During the term you can email the supplier about installation, mailbox setup, and invoice rules. The contact address on the home page is a placeholder until the owner publishes the real one. Support does not include bookkeeping advice, and it does not include Intuit’s own QuickBooks support.

Your data

You own the emails, invoices, and PDFs. They stay on the customer’s PC. Inbox2Invoice does not keep a copy. Mail passwords are stored with Windows protected storage for the signed-in user. QuickBooks is connected with Intuit’s official sign-in. Tokens for that connection stay on the PC. Read the privacy policy and the end user licence.
