Controller for this website and for support email: [Supplier legal name], [Supplier postal address], [Supplier email].
Controller for the bookkeeping records inside the app: the business that uses Inbox2Invoice. That business decides why those invoices exist. The supplier does not receive them.
This website
The site is static. It does not set cookies, does not use analytics, and does not have an account. If you email the address on the contact section, we use that email to answer you. The lawful basis is steps toward a contract, or our legitimate interest in replying to a question you sent. We keep the thread for as long as the conversation and any licence needs it, then delete it. The address hello@inbox2invoice.example on the home page is a placeholder, not a live mailbox.
The desktop app
Inbox2Invoice stores its database, PDFs, licence file, and logs in the Windows profile of the person who runs it. Mail passwords and QuickBooks tokens are protected with Windows for that user. They are not sent to the supplier.
When you connect a mailbox, the app talks to that mailbox provider (IMAP, POP3, or Microsoft 365) using the details you enter. When you connect QuickBooks, the app uses Intuit’s official sign-in and Intuit’s API. Intuit’s privacy notice applies to what Intuit stores. Microsoft’s notice applies if you use Microsoft 365.
The licence check uses the public key inside the program. It does not send the licence file to us for verification.
What we do not do
- We do not sell personal data.
- We do not use the contents of job emails to train a model.
- We do not run advertising on this site.
How long it is kept
Records inside the app stay until the user deletes them or deletes the data folder. Support emails are kept as described above. We do not operate a backup of your database.
Your rights
If we hold personal data about you (for example a support email), you can ask for a copy, a correction, or deletion, and you can object or ask us to restrict processing. Write to the supplier email above. You can also complain to the Information Commissioner’s Office at ico.org.uk. For the invoices inside the app, ask the business that uses the software, because they hold that data.
International transfers
This website does not transfer data. If you connect QuickBooks or Microsoft 365, those companies may process data outside the UK under their own terms. That transfer is between you and them.
Changes
If this policy changes, the new version will be dated on this page. The current text is for the Inbox2Invoice rebrand.
